A recruiting agency says it fixed a common workplace problem: too many alerts. Its answer was to stop sending every hiring update to team chat. Only the ones that need someone to notice, own or act now go there. The team shared its approach on the Zoho blog, using two of its own tools, Zoho Recruit and Zoho Cliq.
The problem with alert overload
Zoho Recruit is an applicant tracking system, which is software that keeps the record of jobs, candidates and client submissions. It logs a lot of movement: stage changes, interviews, notes and job updates. All of it matters. But the team says not all of it needs to become a team message.
If every change lands in chat, the channel turns into another notification feed. In the team's words, once everything looks important, nothing really feels important.
What the team changed
The team uses Recruit workflows, which are automatic rules, to push selected moments into Cliq, its chat tool. These are the cases where somebody genuinely needs to act. Recruit still records what happened. Cliq just gets the right eyes on it.
- A priority job that still has no owner
- A requirement that needs immediate help
- An important client outcome or decision
Ending the "which role?" question
The team also noticed that a lot of internal chat is people rebuilding context. To fix that, it shares the Recruit record for a job opening or candidate straight into Cliq. A Recruit command inside Cliq can also pull up a record during the conversation.
The rule of thumb is simple. Talk about the work in Cliq, but keep the recruitment record in Recruit. That avoids creating a second source of truth.
Turning talk into action
Agreement in chat is not the same as progress. Where the integration allows it, a recruiter can use the conversation to move the process forward. For example, after the team discusses an existing candidate, the recruiter can link that candidate to the relevant job opening. The recruiter can then submit the candidate to the client from Recruit. When a key client decision comes back, a workflow can alert the team in Cliq.
What to take from it
The approach is not tied to hiring. Anything that is permanent, such as a candidate, job, submission, evaluation or hiring process, belongs in the system of record. Anything that needs people to notice, ask or respond together belongs in chat. The team sums it up as reducing the distance between something happening and somebody doing something about it.
The takeawaySend only the few updates that need action to chat, and keep the permanent record in one place.
